Access path

Information

  • In this module, the most important data and parameters are created and maintained.
  • Depending on the access rights of the current user, data can be modified.
  • This module is opened by default when a request is created.

Request Header Data

Information

  • When a request is created, the functional ID is generated automatically in the request header.
  • Request name can be allocated or changed.

Note

  • All users that have access to the respective creation modules are allowed to create requests. No further authorization is necessary.

Change Functional ID

Information
  • PLANTA project distinguishes between functional ID and technical ID.
    • They are both generated automatically when a project, proposal, idea, or program is created and are equal at that point.
    • The functional ID is visible in various modules and can be changed if required for certain reasons.
    • The technical ID must not be changed. It is not visible in the module and remains unchanged even if the functional ID is changed.

Change functional ID

  • In the header bar area (in the Subprojects module in the box of the required subproject), click on the button with a pen on the right hand side.
  • The Do you really want to change the functional ID system wide? dialog message is displayed.
  • Confirm it with Yes.
  • A dialog window containing an input field is opened.
    • Enter the new ID here.
      • The functional ID needs to be defined uniquely in the system. If you enter an already existing ID and click outside the field, the The required object ID is already being used message is displayed and the value is reset.
      • In the Global Settings module, you can set whether the functional ID is to be changed globally (e.g. in existing status reports) via the change_project_functional_global parameter. If you have selected value "1", the change is applied globally.

Note

Delete Request

Procedure

  • Click on the Delete request button to the left of the project header.
  • The Delete Request module is opened, in which the request can be deleted via the Delete request button.
Note
  • Only users with object right name=multi-project/multi-request manager(4) are allowed to delete requests.

Basic Data

Information

  • The Basic data area contains all data fields required for the creation of the request.

Edit

Information

  • The Editing area provides information on when and by whom the request has been created.

Descriptive Data

Information

  • In the Descriptive data area, further project information on the project can be entered in the continuous text fields.

Attribute/Parameter

Information

  • In the Attributes/Parameters area, further request parameters can be defined.

Business Partner Assignment

Information

  • In the Business partner assignment area, business partners and contact persons are displayed and can be edited.
  • New business partners can be assigned.

Assign Business Partner

Procedure

  • Right-click on the area name and select the Insert Assign business partner context menu command.
    • A blank record is inserted.
  • BP name and CP name from the listboxes.
  • Enter an e-mail address.
  • By marking the checkbox in the Main CP field, the contact person can be defined as a main contact person.

Edit BP/CP

Procedure

  • Right-click on the required business partner assignment.
  • Select the Edit BP/CP context menu command.
  • You switch to the Business Partner Administration module in which further data can be edited.

Stakeholders

Information
  • In this area, stakeholders of the request can be defined and categorized.
  • Absence data of the corresponding employees can be viewed.
  • Information can be sent to stakeholders.
  • NEW When a request is created, the manager of the request is automatically added as a stakeholder. In the Comment field this is indicated by the Taken from manager field note.

Create Stakeholders Individually

Assign stakeholder

  • Click on the Assign Stakeholder button in the Stakeholder caption line.
  • The To which category do you want to assign stakeholders? query is displayed.
    • In the dialog window, categories are offered that exist in the Project team categories listbox category in the Miscellaneous Listbox Values module.
  • Click on the button of the required category.
  • The dialog module for stakeholder selection is opened.
    • Select the required stakeholders in this module and copy them to the previously selected category by clicking on the respective button.
  • Define the role of the stakeholder in the request via the listbox of the same name ( do not confuse with the user/PLANTA roles).
  • In the Info via field, define whether the appropriate person is allowed to receive request information.
    • If the multi-request manager is to receive information on the request as well, he/she must be assigned to the proposal and the inbox type must be defined for him/her.
  • Define stakeholder's rights for the request by activating or deactivating the Modification rights checkbox:
Interactions with other modules
  • Planning objects the user is a stakeholder of are automatically displayed after the user has logged on to the program in the My Planning Objects module in the Stakeholder with Modification Rights (if the Modification rights checkbox is activated) and Stakeholder without Modification Rights (if the Modification rights checkbox is deactivated) categories.

Assign further stakeholders individually

  • Right-click on the required category or on an already assigned stakeholder and select the Insert Stakeholder command from the context menu. A new stakeholder record is inserted.
  • Select the required stakeholder from the Stakeholder name listbox and save.
  • Define further parameters as described in the procedure above.

  • By right-clicking on the required stakeholder and selecting one of the commands of the same name contained in the context menu, the following actions can be carried out for stakeholders:
    • Display absence: The Absence module will be opened including the absence of the corresponding stakeholder.
    • Send info : * As a result, the Send Info module will be opened, in which the message to the corresponding stakeholder can be written and sent automatically via e-mail.
