Access path

Information

  • In this module, the current status of the project and existing status reports are displayed.
  • It is a preview module in which new status reports can be created.
  • When you click on the number of an existing status report, the Status Report module is opened, in which status report data can be viewed.

Note for structured projects

  • Status reports can only be created on main project level, i.e. it is not possible to create separate status reports for individual subprojects.
  • If you create a status report for the main project, the same status report is created for each subproject (with the same report ID as that of the main project report).
    • When you click on the report ID of a parent project, the report of the parent project is opened, in which status report data of child projects can be viewed as well.
  • Only main project managers can create status reports for their main and subprojects. This function is not available to the subproject manager.

Current Status

Information

  • In the Current status area, the estimate of the project manager
    • is visualized by a thumb symbol per factor (costs, effort, dates, etc.) and
      • The estimate can be changed manually by clicking on the » field.
      • Here, a gray circle is displayed for projects that have not been estimated yet.
    • The project status calculated by the program is represented.
      • This is visualized by traffic light triangles specifying the percentage deviation of costs and effort (total vs. budget) and the deviation in days of dates and milestones (requested vs. calculated).
        • red: costs/effort overrun by more than 5%, or delay of more than 5 days
        • yellow: costs/effort overrun by up to 5%, date delay of up to 5 days.
        • green: costs/effort not overrun, no delay
    • The project trend is visualized compared to the frozen status of the last report.
      • This is visualized by trend arrows specifying the percentage deviation of costs and effort and the deviation of dates and milestones in days.
        • Arrow up = negative trend, arrow down = positive trend.
    • A comment is inserted.
  • For each factor, details can be viewed by opening the tree structure.
    • When you expand the
      • Costs area, details on the cost budget and two graphics on the cost trend are displayed.
      • Effort factor, details on the effort budget and graphics on the effort development are displayed.
      • End dates factor, project dates and duration are displayed.
      • Milestones factor, tasks defined as milestones or master milestones as well as milestone trend are displayed.

Details

  • From the Current status area, new reports (baseline, status, final report) can be created.

Create Status Report

Procedure

  • If necessary, click on the Refresh button at the bottom left of the module in order for the current project data to be displayed in the module.
    • The Refresh button is displayed if changes have been made and saved in another module of the project panel that might have an effect on data in the Status module.
  • Make necessary changes to the Current status area (only estimates and comments possible).
  • Click on the Create status report button.
  • Confirm the Have you refreshed your estimates and comments? message with Yes. The status report is created and you automatically switch to the Status Report module, in which the data of the created status report is displayed.

Notes

  • You cannot create a status report if a final report exists.
  • A status report should be released after creation in the Status Report module.
    • After its creation, if a status report is
      • released, it is displayed in the Status reports area with last released report status.
      • not released, it is displayed in the Status reports area with created report status.

Create Baseline Report

Information
  • The baseline is a status report in which the released and approved planning of the project is displayed. It serves as an orientation guide during project progress.

Procedure

  • Click on the Refresh button on the bottom left of the module so that the current project data can be displayed in the module.
  • Make necessary changes to the Current status area (only estimates and comments possible).
  • Click on the Create baseline button.
  • If no baseline report exists, the following message is displayed: Do you really want to create the baseline?
    • Confirm the message with Yes.
    • Afterwards, the current status of the project is frozen and the baseline report is created.
    • The created baseline report is displayed in the Status report area with the Baseline report status.
  • If a baseline report already exists,
    • the Baseline report available for project! message is displayed when you try to create a new baseline report.
    • Confirm this message with OK.
    • Confirm the Do you really want to create a baseline? message with Yes.
    • A new baseline report is created.
    • The previous baseline report receives the released report status.

Note

  • When you create a baseline and a status report afterwards (or the other way around) without changing anything in the meantime, the milestones are on the same level in the chart in the Dashboard (current status = last report = baseline).

Create Final Report

Information

  • If a report is created for a project the tasks of which all have an Actual end, such a report is called a final report.

Procedure

  • Click on the Create final report button.
  • Confirm the Send final report? message with Yes.
  • A final report is created.
    • As long as it is not released, it has the open final report status.
    • As soon as it is released, it receives the last released status.
  • As soon as a final report has been created for a project, no further status report can be created for this project.

Status Reports

Information
  • In the Status report area, the already existing status reports are listed and a basic overview of the frozen status of different factors in the respective report is provided.
  • By clicking on the report ID, you can open and see the corresponding report with detailed data.

Configure Trend Analysis

Information

  • From the Status report area, you can switch to the Configure Trend Analysis module by clicking on the Configure trend analysis button. In this module, you can define the status reports that should be considered in trend analyses or the comparison of planning states.
