Export to Excel

Objective

  • To export a module or particular module areas to Excel
Procedure
  • Open the required module.
  • Select the Extras Send data to Microsoft Excel menu item.
  • An export window opens where you can define export parameters.
    • If you want to save the export file, press the appropriate button in the Save as area and insert the required path.
    • Here, you can find the description for the Use Excel freeze function for window 1 checkbox.
    • You can choose between two different export types.
      • Standard export:
        • By activating the check boxes for the required data areas in the Advanced dialog box, you can specify which data areas are to be exported.
        • By activating the Export layout check box, you can specify whether module layout(colors) are to be exported.
      • Bulk export:
        • You can use bulk export to export a data area with many data very quickly.
          • For performance reasons, OLEs and colors are not exported in this case.
        • Select the required data area from the listbox in the data area area:
          • The listbox shows all data areas that can be exported.
          • The data area which contains the most data is selected by default.
    • You can start the export procedure by pressing the Export button.

Note

  • Data areas cannot be exported if they:
    • do not contain any data or
    • contain only data fields with c* (buttons) or ba (bars) DF behavior.

Export object Export feature
Displayed/hidden fields Only the fields of the windows 1, 2, 3 can be exported. Hidden fields (window 9) cannot be exported.
Fields in tabular areas The data is exported column-by column It means, in modules with several data areas, the first field from all areas in PLANTA module is exported to the first column in Excel, the second PLANTA field to the second column in Excel etc. This counting applies for each window and starts afresh in each window. Therefore, fields from different data areas that form a column in PLANTA modules are only displayed in a column in Excel if the number of fields before these data areas is equal to that in PLANTA modules.
Fields in forms Fields from data areas, customized as forms in PLANTA modules, are displayed next to each other in Excel in the order of the data fields in the data area (not necessarily the way they are displayed on the surface).
  • Note: Upon creation of a data area, make sure that the order of data fields is reasonable.
  • Prior to exporting, the order within the form can be checked using the tabulator and if necessary, it can be corrected in the Customizing mode data area by moving the data fields.
Several windows When exporting to Excel, the Split Excel function is used to display the separator between the first and second PLANTA project window.
NEW The separator between the second and third window in PLANTA project is displayed as a red (frame) line in Excel.
  • As a result, the area in Excel which corresponds to the first PLANTA window is fixed, while the area corresponding to the second or third PLANTA window is scrollable.
    • By deactivating the Activate "Split" Excel Function for Window 1 the corresponding function is switched off. Tip: This is particularly recommended for modules in which the first window contains multiple fields. Otherwise you may not be able to view all fields of the module in Excel since scrolling, as mentioned above, is not possible.
    • Alternatively, the window split can be disabled in Excel. In order to do so, click on the Window Remove the Split menu item.
Headings in form areas Headings in form areas are always exported, regardless of whether they are displayed or not (provided that the corresponding data fields are displayed).
Headings in tabular areas (column headings) Column headings are only exported (the Heading checkbox is activated) if records are displayed in the appropriate data area. Column headings are always exported to Excel as fix headings.
Fix headings in tabular areas (fix column headings) Fix column headings (the Fix heading checkbox is activated) are always exported, regardless of whether the appropriate data area contains data or not.
Buttons Buttons cannot be exported.
Bars (histogram and date bars) Bars and the respective scales are not exported.
Projections Projections are exported with the respective scales.
Alternating shading Alternating shading cannot be exported.

    • The separator between the second and third PLANTA project window is not displayed in Excel.

Field Types

Field Type Export feature
Background fields Background fields cannot be exported. Exception: Background fields that contain a graphic.
Checkboxes Checkboxes are exported to Excel as value 1 or 0 (activated/deactivated).
Percent values To make sure percent values are formatted as percent values in Excel too, you have to check whether the corresponding data field is in a format where "%" is the last character.
Currency fields For currency fields, the value from the database is always exported to Excel.
  • The values of the currency fields are saved in the database in the form of plain numerical values, dependent on the system currency. I.e. if the defined system currency differs from the field currency, the value displayed on the surface is converted to the database when saving. Therefore, the number in the corresponding field on the surface may differ from the number in the database.

    • In PLANTA project, you can specify different formats for currency fields. After exporting to Excel, they are displayed in the Excel default currency format.

      • PLANTA project formats like e.g. 12345678.00EUR or 12345.678.00€ are both displayed as 12.345.678,00€.
      • The default currency in Excel and the default currency format are defined by the regional and language options.
    • NEW With the IronPhython function ExportToExcelSetCurrencyFormatting() it is possible to define in which format the currency data fields of each module to be exported are displayed after exporting.
Date fields Regardless of the PLANTA project format, date fields are displayed in Excel in the default Excel format
  • E.g. the dd-mm-yyyy and mm.dd.yy PLANTA project formats are displayed in dd.mm.yyyy format in Excel.
Numeric fields The value displayed in a numeric field in PLANTA project can differ from the value saved in the database when different formats are defined. If you export to Excel, the value saved in the database is exported to Excel and displayed there in the Excel default number format.
  • In the database there are for example 80 (Hours) saved but in the corresponding field, 10 (person days) are displayed. After exporting, 80,00 is displayed in Excel.

Date fields Regardless of the PLANTA project format, date fields are displayed in Excel in the default Excel format
  • E.g. the dd-mm-yyyy and mm.dd.yy PLANTA project formats are displayed in dd.mm.yyyy format in Excel.
