Stakeholder MOD0099B5 Up to DB 39.5.7

The following description applies to PLANTA project versions up to DB 39.5.7. From release DB 39.5.7, program stakeholders are displayed and edited in the Core Data module of the respective planning object and the watchlist in the Dashboard module. If you use a PLANTA version DB 39.5.7, please switch to the description of the Project Core Data, Proposal Core Data, Idea Core Data, or Dashboard modules.

Information

  • In this module, stakeholders of the project can be defined and categorized at the same time.
  • Absence data of the corresponding employees can be viewed.
  • Information can be sent to stakeholders.

Assemble Project Team

Procedure

  • Insert a new category record by right-clicking on the Stakeholder heading and selecting the Category command from the context menu.
  • Select a category, e.g. Core team, from the listbox.
  • By right clicking on the inserted category and selecting the Stakeholder command from the context menu a new stakeholder data record is inserted.
  • Select the requested stakeholder for the project team from the Stakeholder name listbox and save.
  • Define the employee's role by the listbox of the same name.
  • Define in the Info via field, whether the appropriate person is allowed to receive project information. If so, define the info type.
    • The multi-project manager must also be assigned as a stakeholder and the info type has to be defined for him or her so that he or she can receive messages as well.
  • Define project rights by activating or deactivating the Modification rights checkbox:
    • If the checkbox is activated, the stakeholder will have modification rights for the current planning object (Stakeholder with Modification Rights).
    • If the checkbox is deactivated, the stakeholder will only have read rights (Stakeholder without Modification Rights), provided that no other right parameters that may activate modification rights are set. For more information, see Access rights.
  • Save.

Interaction with other modules

  • When assigning resources to tasks in the Schedule module the assembled project team (core team) is displayed first in the resource selection listbox.
  • Planning objects for which the user is stakeholder are automatically displayed after the user has logged on to the program in the My Planning Objects module in the Stakeholder with Modification Rights (if the Modification rights checkbox is activated) and Stakeholder without Modification Rights (if the Modification rights checkbox is deactivated) categories.

Insert Several Stakeholders Simultaneously

Procedure

  • For this purpose, click on the Assign Stakeholder button.
  • The To which category do you want to assign stakeholders? message is displayed.
  • press the button for the requested category.
  • The Select Stakeholders module is opened including a specification of the selected category.
  • Mark the required stakeholders and click on the Assign marked button.
    • Marked stakeholders are assigned to the selected category.
  • Define the role of the stakeholder in the project via the listbox with the same name (do not confuse with the user/PLANTA roles).
  • In the Info via field, define whether the person concerned is allowed to receive project information . If so, define the inbox type.
  • Save.

Display Absence

Procedure

  • Right-click on the required stakeholder.
  • Select the Display absence context menu command.
  • The Absence module is opened including the absence of the corresponding stakeholder.

Send Information

Procedure

  • Right-click on the required stakeholder.
  • Select the Send info context menu command.
  • As a result, you switch to the Send Info module where the message for the corresponding stakeholder can be written and sent.
  • Fill the data fields and click on the Send button.

Watchlist

Information

  • In the This project is in the watchlist of: area, persons are listed who added the current project to their own watchlist for monitoring purposes via the My Watchlist module
