Workflow: Create Portfolio Status Report Up to DB 39.5.9

Access

Procedure

• Open the PLANTA project Client.
• Enter R70 as the multi-project manager in the upper input field.
  • Demo users do not possess passwords, so no input is necessary in the second field.
• Press OK.
• Select Portfolio Management Portfolio Portfolio Overview.
• Click on the ID of the required portfolio in the Portfolio Overview module.
  • The Portfolio module is opened.
  • Click on the Portfolio status reports module tab.
    • The Portfolio Status Reports module is activated.

Create New Portfolio Status Report

Configure Status Report

Procedure

• Click on the New Status report button in the Portfolio Status Reports module.
• The Configure Portfolio Status Report module is opened automatically.
• A portfolio status report can now be configured for the opened portfolio.
  • In the head part of the report, a name can be entered and a monthly report can be selected from the listbox for a required period.
  • In the Please assign the current status reports area, released status reports can be assigned to the planning objects assigned to the portfolio.
  • Click on the Assign portfolio status report button in order to assign status reports.
    • The Assign Status Report selection module is opened.
    • Click on the required status report.
    • The status report is assigned to the selected planning object.
    • If the selected planning object does not contain any released status report, the The planning object contains no released status reports dialog message is displayed.
    • By checking or unchecking the Display WBS and/or Display TBM checkboxes, you can define whether the data (from the respective status report) of the respective planning object is considered and displayed in the portfolio status report and/or in the Time&Budget Matrix.
  • If changes are made to the assignment of status reports to planning objects, or entries in checkboxes are changed, please click on the Update display button in order to refresh the calculation and display of data.
• The configuration of the portfolio status report is thus completed.
• The portfolio status report can now be edited.

Edit Status Report

Procedure

• Click on the Edit status reports button in the Configure Portfolio Status Reports module.
• You automatically switch to the Edit Portfolio Status Report module.
• In this module, estimates of the portfolio manager for different factors, e.g. costs, dates, etc., can be made and changed.
  • By clicking on the Change estimate button , the thumb symbol changes from via to .
  • If no thumb symbol is displayed, this means that no estimate is available.
• Additionally, new comments can be entered for each factor or existing ones can be edited.
• The module is subdivided into the two areas: Estimates and Assignments.
• Except the Portfolio and Quality areas, the status report data of the planning objects is displayed in graphical and tabular form for all planning object areas for which the Display WBS checkbox is activated.
• The editing of the portfolio status report is completed.
• The portfolio status report can now be frozen.
• The portfolio status report can now be edited further.

Freeze Status Report

• Click on the Create portfolio status reports button in the Edit Portfolio Status Reports module.
• Answer the following question Have you updated your estimates and comments? with Yes.
• The status report has been created now and can no longer be edited.
• You automatically switch to the Portfolio Status Report module.
• In this module, the created status report can be released, printed as a PDF, or deleted by clicking on the respective buttons.
