Access path

Information

  • The Open Items module is a central information module for all open items of a project. Here, open items can be defined and edited.
Open items are less significant work which has to be done in the course of a project and which can be defined and assigned to users for completion.

Details

  • In the Group by field, a criterion can be selected from the listbox. After you have clicked on the Refresh button, all open items are displayed grouped by this criterion.

Module Variants

Base All open items are displayed.
With completed items All open and completed items are displayed.
Only completed items All completed items are displayed.

Create Open Items

Create Further Open Items for Displayed Tasks

Procedure

  • Insert a new todo item record for the required task.
  • Enter the item name in the Open item name field.
  • Save.
    • As a result, the ID number (Open item field) of the open item is generated automatically.
    • The Created on / Created by: name fields of the open item are automatically filled with the current date and the current user.
    • The entry in the Date field is the completion date. When you create a new todo item, today's date is entered automatically. This can be overwritten by another date, if required.
  • Select the resource that is meant to complete this item from the Resource name listbox.
  • Select a category from the listbox.
  • Enter the priority in the Prio field.
  • Save.

Note

  • All open items to which resources have been assigned are displayed in the My Todo Items module in the Employee Board panel of the respective resource.

Create Open Items for New Tasks

Procedure

  • At the bottom of the Open Items module, tasks without any open items are displayed in the Create open item area.
  • You can create a new open item by clicking on the ID number of the required task.
    • The ID (in the OI field) is automatically allocated.
  • Define the name in the Open item name field (the Please enter name dialog is displayed by default).
  • For the detailed procedure, see above.

Edit Open Items

Procedure

  • You can edit an open item by changing the open item parameters:
    • Either, directly in the corresponding record in the Open Items module
    • Or in a data sheet in the Open Item module.
      • This module is opened by clicking on the number of the open item or right-clicking on the open item and selecting the Edit open item context menu command.
  • When notes and checklist items are assigned to the open item, they can be displayed and edited by opening the tree structure.

Details

  • After you have entered 100% in the % completed field, the open item is regarded as complete and, by default, it is not displayed when the module is reopened, but can be viewed in the with completed items and completed items only module variants.

Create Notes

Procedure

  • Insert a new note record for the required open item by right-clicking on the item and selecting the Insert Note command from the context menu.
  • Enter the text in the Note field.
  • In the Linked file field, a link to a file can be created.

Assign Checklists/Checklist Items

Procedure

  • There are two ways to assign checklist items to the open item:
    • Copy checklists from checklist template
      • Click on the link on the ID of the open item. As a result you switch to the Open Item module in which the open item you clicked on is displayed in the form of a data sheet.
      • Right-click and select Copy checklist from the context menu.
      • Select a checklist in the Copy checklist from template area and click on it.
        • The checklist items of the selected checklist are assigned to the open item.
      • Save.
    • Create individual checklists by assigning individual checklist items:
      • Insert a new checklist item record for the required open item by right-clicking on the required open item and selecting the Insert Note command from the context menu.
      • Describe the item.
      • Save.
      • Insert further checklist items in the same way if necessary.

  • The checklist templates for open items are created and administered in the Checklists module.
