Access path

Information

  • In this module, new portfolios are created and the data of existing portfolios is maintained and edited.

Module variants

  • With Completed Periods
    • Here, completed periods are displayed as well.

Portfolio Header Data

Information

  • In the portfolio header, the header data of the portfolio, such as ID number, name, etc. is displayed and can be edited.
  • The data for risks and opportunities is summarized from the planning objects assigned to the portfolio (from the most recently released status report) and is displayed calculated according to the risk value share.

Create Portfolio

Procedure

  • After you have clicked on the New portfolio button in the Portfolio Overview module, the empty Portfolio module is opened.
    • When the module is opened, the ID number for the new portfolio is generated automatically and displayed immediately.
  • In the Portfolio name field (here, the Please enter name dialog is displayed by default here), you can name the portfolio as desired.
  • Save.
  • Other entries are optional and can be added at a later point in time if required.

Delete Portfolio

Procedure

  • Click on the Delete button next to the portfolio header.
    • The deletion button is only displayed if you possess the required rights for deletion.
      • Users with object right = 1 (multi-project manager), 2 (portfolio manager), or 4 (multi-project/multi-request manager) are allowed to delete all portfolios.
      • Users with object right = 0 are only allowed to delete their own portfolios, that is, portfolios for which they are defined as the portfolio manager by an entry in the Portfolio Manager Name field.
  • Confirm the Do you really want to delete this portfolio? message with Yes.

Budget per Period

Information

  • The portfolio budget can be planned on a yearly basis (period-related).
  • In the Budget per period area you can add, approve, and delete periods.
    • The budget data can be edited separately in each period tranche.

Note

  • If changes which affect the data in the Portfolio module are made to data in the other modules (e.g. in the Budget module), you must click on the Update Portfolio button to update the portfolio data.

Add Period (Budget)

Procedure

  • Create a new period tranche using the Add period (budget) button.
  • Select the period from the listbox.

Edit Period

Procedure

  • The portfolio budget is entered manually for each cost type group in each yearly tranche.
    • Changes to individual budget positions (in individual cost type groups) automatically cause the value in the Total field to be updated.
  • In addition to the portfolio budget data, the aggregated data of the planning objects assigned to the portfolio is displayed.
    • The budget data is current data.
    • Cost data stems from the status reports.
  • By marking the Completed checkbox, you can hide the yearly tranche. This is the case if the year is in the past, for example. With the With Completed Periods module variant, the hidden yearly tranches can be displayed.

Details

  • The data of each period can be accessed and displayed separately in an extra module. To do so, click on the Edit Period button. As a result, you are directed to the Period.

Approve Period

Information

  • In PLANTA portfolio, the portfolio budget is not approved for an entire portfolio; it is only possible to approve a portfolio budget for a particular period.

Procedure

  • Click on the Approve period button in the required period tranche.
  • Confirm the Do you really want to approve the period? message with Yes.
  • The Approved checkbox is activated and thus the budget for the period is approved.

Note

Delete Period

Procedure

  • Click on the Delete period button for the required period.
  • Confirm the Do you really want to delete the period? message with Yes.
    • The period tranche itself is not deleted, only the values it contains.

Notes

  • Deletion is only permitted for periods that have not been approved.
  • When you attempt to delete an approved period, the following message is displayed: Approved portfolios cannot be deleted.
  • If you want to delete an approved period, you must first cancel the approval by deactivating the Approved checkbox in the Cancel Approval per Budget Period module.

Projects, Proposals, Ideas

Information

  • In the Projects, Proposals, Ideas area, you can assign projects, proposals, and ideas to the portfolio.
  • The assignments can be deleted.

Assign Projects, Portfolios, Ideas to the Portfolio

Procedure

  • Click on the Assign Projects, Ideas, or Proposals button in the Projects, Proposals, Ideas area.
  • As a result, you switch to the Assign Projects, Ideas, or Proposals module.
    • Assign the required planning objects individually by clicking on the ID number of the respective object or
    • selecting several planning objects and clicking on the Copy marked button.
    • As a result, they are assigned to the portfolio and are immediately visible in the Portfolio module.

Note

  • Only projects with status =1 (active projects) can be assigned to the portfolio.

Remove Projects, Proposals, Ideas from the Portfolio

Procedure

  • Right-click on the required planning object.
  • Select the Delete assignment context menu command.
  • Confirm the Do you really want to delete this data? message with Yes.

Estimate

Information

  • In the Estimate area, the portfolio manager can estimate the portfolio.
  • The estimate is visualized by a thumb symbol.
  • The estimate can be changed manually by clicking on the » field.

Documents

Information

  • In the Documents area, you can assign documents to the portfolio.

Assign documents

  • Insert a new document record for the portfolio document.
  • Assign a name.
  • A linked document can be inserted in the File field.
  • Save.
