Information
- In this module,
- already existing portfolio status reports are listed with date, status, and evaluation by the portfolio manager for different factors.
- you can create new status reports and make all settings and entries relevant for the status report creation.
Note
Create Estimates and Comments
Information
- In the Estimates area, you can create or change estimates and comments on different portfolio factors which are to be used for the status report currently to be created.
Procedure
- This can be changed by clicking on the arrow button next to the thumb symbol.
- If no thumb symbol is displayed, this means that there is no estimate for this factor.
- Repeat the procedure for every required factor.
- In the Comment field, remarks can be added to each factor and existing ones can be changed.
Details
- By expanding the tree structure, summarized data on the Costs, Effort , Dates, and Risks/opportunities factors from planning objects to which a status report has been assigned in the Planning objects with status report assignment area (since the status report acts as the data source here).
- The data is displayed both in table form as well as graphically.
Assign Planning Object Status Reports/Remove Assignments
Planning Objects with Status Report Selection
Information
- In the Planning objects with status report selection area you can define which planning object data is to be copied into the portfolio status report to be created and which lanning object data is to be considered in the Time&Budget matrix of the portfolio status report.
- Furthermore, status reports are assigned to the planning objects the data of which is to be fed in the portfolio status report to be created, (usually the last released status report), since in portfolio status reports not the current project statuses but only the frozen project statuses can be considered.
Details on symbols
- The estimate specification of each planning object (thumb symbol) as well as the traffic lights on calculated statuses stem from the selected status reports.
- Besides the total estimate of the respective project manager, the estimate of the portfolio manager is displayed for each planning object as well and can be adjusted via the button.
Select planning objects for the portfolio status report and the Time&Budget matrix
From DB 39.5.11
- Activate/deactivate the checkmark in the WBS checkbox in the line of the required planning object.
- The respective planning object is considered and displayed in the portfolio status report.
- Activate/deactivate the checkmark in the TBM checkbox in the line of the required planning object.
- The respective planning object is considered in the Time&Budget Matrix.
- NEW The TBM checkobox can only be activated if the WBS checkbox is active.
Up to DB 39.5.11
Mark/unmark the PSR checkbox.
- The respective planning object is considered and displayed in the portfolio status report.
Mark/unmark the TBM checkbox.
- The respective planning object is considered in the Time&Budget Matrix.
Assign status reports to the selected planning objects manually
From DB 39.5.12
- Click on the NEW Select status report button in the line of the required planning object to assign status reports. If the planning object has no released status reports, this is indicated by a message.
- The Assign Status Report module is opened.
- NEW Select the required task by activating the Select checkbox and clicking on the Assign selected status report button.
- The selected status report is assigned to the selected planning object.
Up to DB 39.5.12
Click on the Assign status report to the planning object button in the line of the required planning object to assign status reports. If the planning object has no released status reports, this is indicated by a message.
The Assign Status Report module is opened.
Click on the required status report.
- The selected status report is assigned to the selected planning object.
Assign status reports to the selected planning objects automatically
- As an alternative to manual selection of each individual status report, the last released status reports can be selected collectively by clicking on the Assign current status reports button.
- However, you can still select another status report manually afterwards.
Delete status report assignments
- Click on the Delete status report assignment button in the line of the required planning object.
- Confirm the Delete status report assignment? message with Yes.
Planning Objects without Status Report Selection
Information
- In the Planning objects without status report selection area, all planning objects of the portfolio for which no status reports can be selected since they have no status reports in general are listed.
- Although these planning objects can be included in the portfolio report to be created by activating the WBS checkbox. However, this is a mere listing of these planning objects with possibly existing comments and estimates of the portfolio manager.
Create Portfolio Status Report
Procedure
- Click on the Create status report button.
- Answer the following question in the dialog with Yes: Are all entries (estimates/comments) and assignments (status reports to planning objects) complete and up-to-date?
- The status report has been created now and can no longer be edited.
- You automatically switch to the Portfolio Status Report module in which the created status reports can be viewed and released or printed if necessary.
Portfolio Status Reports
Information
- In the Portfolio status reports area, already existing status reports are listed with specifications on date, status, and estimate by the portfolio manager on different portfolio factors (dates, costs, etc.).
- The respective report with detailed information can be opened and viewed in the Portfolio Status Report module by clicking on the ID in the Report field.
