Portfolio Core Data MOD009CS4 New from DB 39.5.10
Access path- Portfolio Management Multi-Portfolio Board Portfolios Click on the ID of the required portfolio Portfolio panel Portfolio Core Data
- In this module, the most important data and parameters of a portfolio are created and maintained.
Portfolio Header Data
Information- In the portfolio header, the header data of the portfolio such as the ID number, Name, Portfolio Manager, etc. is displayed and can be edited.
Create Header Data of a new Portfolio
From DB 39.5.14
Procedure
- After you have clicked on the New portfolio button in the Portfolios module, the empty Portfolio module opens.
- When the module is opened, the ID number for the new portfolio is generated automatically and displayed immediately.
- In the Portfolio name field (here, the Please enter name dialog is displayed by default), you can name the portfolio as desired.
- Define the manager of the portfolio in the Portfolio manager field.
- NEW When the portfolio is created, the current user is entered as a manager by default.
- Save.

Procedure
- After you have clicked on the New portfolio button in the Portfolios module, the empty Portfolio module opens.

Assign Images to Portfolio
Procedure- Click on the Insert/change image button in the image area.
- The Select Portfolio Image module is opened.
- Select the required image by clicking on the Add image button next to the required image and save.
- The images offered for selection are created and edited in the Administer Portfolio Images module.
- If no image has been selected explicitly for the portfolio, the image defined as default in the Administer Portfolio Images module is used.
Delete Portfolio
Procedure- Click on the Delete portfolio button in the portfolio header.
- Confirm the Do you really want to delete this portfolio? message with Yes.
- Only users with multi-portfolio manager rights can delete portfolios.
Stakeholders
Information- In this area stakeholders can be assigned to or deleted from the portfolio.
- You can select
- resources with multi-project manager or multi-portfolio manager or multi-project/request manager rights,
- or resources which possess the Management role.
From DB 39.5.12
- Assign a new stakeholder to the portfolio
- either via a dialog module
- to do so, click on the Assign Stakeholder button.
- NEW Select the required persons by activating the Select checkbox and clicking on the Assign selected objects button in the Assign Stakeholder to Portfolio module.
- to do so, click on the Assign Stakeholder button.
- or via listbox selection in the new record.
- To do so, right-click on the Stakeholder area or on the record of an already assigned stakeholder.
- Select Insert Stakeholder from the context menu.
- Select stakeholder from the listbox in the new record.
- either via a dialog module
- Define the Role of the newly assigned stakeholder in the portfolio.
- Enter a comment if necessary.
- Save.

- To do so, click on the Assign Stakeholder button.
- Mark the required persons in the Select Stakeholders module and click on the Copy marked objects button.
- To do so, click on the Assign Stakeholder button.
- or via listbox selection in the new record.
- To do so, right-click on the Stakeholder area or on the record of an already assigned stakeholder.
- Select Insert Stakeholder from the context menu.
- Select stakeholder from the listbox in the new record.
- Mark the record of the required stakeholder.
- Delete the record via the Delete button in the toolbar.
Cost Type Groups
Information- By activating/deactivating the Active in portfolio checkbox, the portfolio manager can define individually which cost type groups are relevant for his/her portfolio.
- The selection made here influences the display of costs and effort in the Budget and Status modules.
Quality Gates
Information- In the Active template listbox of the Quality Gates area, a Quality Gate template is selected for the opened portfolio. It contains one or more defined quality gates which are copied to the planning objects of the portfolio and therefore serve to the portfolio manager as a controlling device for monitoring the progress of the planning objects.
- The selected template is valid for all planning objects of the portfolio to which quality gates are copied.

- Copying the templates to the planning objects is done
- either automatically upon assignment of a planning object to the portfolio. NEW To do so, you have to activate the Copy QG template automatically parameter in the Portfolio Core Data module.
- or in the Quality Gates module.
- Quality Gate templates are created in the Quality Gate Templates module.

From DB 39.5.11
- If the quality gate template has already been assigned to a planning object, it can no longer be exchanged throughout the portfolio or removed from the portfolio.
- When trying to select a new template from the Active template listbox or delete the selected one, the following message is displayed: The selected template is used in one of the planning objects assigned to the portfolio. To select a new template, please delete the corresponding quality gates first.
- NEW It is not possible to assign a template to a portfolio if at least one planning object is assigned to another portfolio which uses another template. A message with a list of the planning objects and portfolios in question is displayed.

- When trying to select a new template from the Active template listbox or delete the selected one, the following message is displayed: The selected template is used in one of the planning objects assigned to the portfolio. To select a new template, please delete the corresponding quality gates first.
