Working with PLANTA Hybrid
The principles of working with PLANTA Hybrid
- Planning of the sprint tasks with the required resources in a project in PLANTA project.
- Synchronization of the PLANTA project tasks with PLANTA pulse. By doing so,
- the first ones in PLANTA pulse are turned into boards. They contain defined lists by default.
- The resources assigned to the task in PLANTA project are added to PLANTA pulse as board members, provided that the users corresponding to the members have been synchronized before (see the "Requirements" section).
- Already synchronized tasks are updated.
- Planning and execution of the sprints by teams in the PLANTA pulse boards.
- Creation of sprint hours in PLANTA pulse boards (on cards). They are automatically returned to the respective task in PLANTA project.
- Monitoring and analysis of the projects by the project manager in PLANTA project.

Synchronization from PLANTA project to PLANTA pulse
Information
- The synchronization of the data from PLANTA project to PLANTA pulse is done manually via a context menu command in the Schedule module.
- Each time data of an already synchronized task is changed, synchronization must be initiated manually to ensure that the respective data is updated in PLANTA pulse.
Details
From DB 39.5.16
- The following data is initially synchronized from PLANTA project to PLANTA pulse:
- selected task (ID and name)
- project of the selected task (ID and name)
- manager of the project
- resource assignment of the selected task (name and code of the respective persons)
- NEW Calculated dates of the selected task
- In follow-up synchronizations of the already synchronized data, the following changes are transmitted to PLANTA pulse and updated there as well:
- ID and name of the synchronized task
- ID and name of the synchronized project
- Resource assignments of the selected task (only addition of the new assignment)
- NEW Calculated dates of the selected task
Up to DB 39.5.16
The following data is initially synchronized from PLANTA project to PLANTA pulse:
- selected task (ID and name)
- project of the selected task (ID and name)
- manager of the project
- resource assignment of the selected task (name and code of the respective persons)
In follow-up synchronizations of the already synchronized data, the following changes are transmitted to PLANTA pulse and updated there as well:
- ID and name of the synchronized task
- ID and name of the synchronized project
- Resource assignments of the selected task (only addition of the new assignment)
Procedure
From DB 39.5.16
- Select the "pulse" entry in the External system field in the Project Core Data module of the required project. The selection causes the controlling elements required for synchronization are displayed in the Schedule module: the PLANTA pulse checkbox and the Synchronize with PLANTA pulse entry in the context menu.
- Activate the PLANTA pulse checkbox in the Schedule module for the task to be synchronized with PLANTA pulse and save.
- Right-click on the project header bar and select the Synchronize with PLANTA pulse command from the context menu.
- As soon as the synchronization is completed, a message is displayed which informs you on whether the synchronization was completed successfully or whether problems occurred.
- If the synchronization was completed successfully,
- open PLANTA pulse and log-on with the user which corresponds to the project manager in PLANTA project or to one of the resources assigned to the synchronized task, depending on whether you want to continue planning with pulse or you simply want to have a look at the data.
- In the Boards panel in PLANTA pulse, you see the following:
- A project corresponding to the PLANTA project project has been created automatically. The name of the project contains the ID and the name of the respective project in PLANTA project. The key of the new project in PLANTA pulse is independent of the ID in PLANTA project.
- The project contains a board which corresponds to the task which you have synchronized from PLANTA project before.
- The name of the task is also the name of the new board.
- The board contains defined lists by default (copied from a stored template), which can be renamed or deleted, if necessary. New lists can be created as well.
- In the PLANTA customizer master data, default lists are defined as listbox values in listbox category 00000422.
- If there are resource assignments on the synchronized task, they are also automatically created as board members in PLANTA pulse.
- The manager of the respective project in PLANTA project is automatically a board member, even if he/she is not assigned to the task as a resource.
- I.e. the resources which are not assigned to the task or which are no project managers do not automatically become board members and cannot access the board in PLANTA pulse. This also applies to multi-project managers, persons responsible for the task, and resources which have synchronized the task, provided that they are not assigned to the task. These resources can, however, be invited to the board by the board administrators and hence become members with access to the board.
- NEW The calculated dates of the task from PLANTA project have been applied as a due date for the respective board in PLANTA pulse.
- If errors were reported after completion of the synchronization, all transactions which have not run through will be displayed in the Open Configurations module (PLANTA link). By opening the log file on the required transaction, you can retrace closely which errors have occurred.

NEW Select the "pulse" entry in the External system field in the Project Core Data module of the required project. - In the schedule, the tasks already synchronized with PLANTA pulse are marked with the NEW symbol at the end of the task record in window 1 and next to the bar of the respective task in window 3. NEW A link is implemented on the symbol via which you can directly access the respective board in PLANTA pulse.
- The access to the board is only permitted to board members. The synchronization alone does not entitle you to access the board (for more information, see the note in the “Procedure” section). If you do not have access rights for a board, the following message is displayed: Could not find board.
- The project manager of the project the task of which has been synchronized, as well as the person responsible for the task (if he/she is available in PLANTA project and has been copied to PLANTA pulse), are granted administrator rights in the respective board in PLANTA pulse.

In the schedule, the tasks already synchronized with PLANTA pulse are marked with the PLANTA pulse symbol next to the bar of the respective task in window 3.
Tasks already synchronized with PLANTA pulse contain the Switch to PLANTA pulse link in the Open PLANTA pulse field (the field is hidden by default), via which you can directly access the respective board in PLANTA pulse.
- The Link is only displayed if the Schedule module has been refreshed after synchronization.
- The access to the board is only permitted to board members. The synchronization alone does not entitle you to access the board (for more information, see the note in the “Procedure” section). If you do not have access rights for a board, the following message is displayed: Could not find board.
NEW The project manager of the project the task of which has been synchronized as well as the person responsible for the task (if he/she is available in PLANTA project and has been copied to PLANTA pulse) are granted administrator rights in the respective board in PLANTA pulse. Up to DB 39.5.12

Restrictions
From DB 39.5.15
- Only projects can be synchronized with PLANTA pulse. Ideas, proposals, and programs cannot be synchronized.
- As soon as at least one task has been synchronized with PLANTA pulse, the External system parameter can no longer be empty or be changed to another external system. The user is informed by a respective message.
- (Master) milestones and summary tasks can no longer be synchronized with PLANTA pulse. NEW If the user tries to activate the PLANTA pulse field for a (master) milestone or for a summary task, or if he/she tries to convert a task synchronized with PLANTA pulse into a (master) milestone, a respective message is displayed.
- NEW For the task which is to be exported to PLANTA pulse, the PLANTA pulse checkbox can no longer be deactivated. The user is informed by a respective message.
- NEW Projects/tasks which are synchronized with PLANTA pulse (and exist in PLANTA pulse) cannot be deleted in PLANTA project. The user is informed by a respective message.
- NEW The resource assignment and the loads of a synchronized task, which have already been synchronized as well, cannot be deleted either. You can only delete resource assignments which have not been synchronized yet.
- Only person resource assignments can be synchronized with PLANTA pulse. Departments, skills, material or cost resources cannot be synchronized.
- Managers of the projects are only synchronized initially. A manager change in an already synchronized project will not be transmitted to pulse.
Up to DB 39.5.15
Only projects can be synchronized with PLANTA pulse. Ideas, proposals, and programs cannot be synchronized.
(Master) milestones and summary tasks can no longer be synchronized with PLANTA pulse.
Only person resource assignments can be synchronized to PLANTA pulse (no departments, no skills, no material or cost resources).
Managers of the projects are only synchronized initially. A manager change in an already synchronized project will not be transmitted to pulse.
A synchronization of the deleted data is not supported. If already synchronized projects, tasks, and resource assignments are deleted in PLANTA project, this does not cause the deletion of the respective objects in PLANTA pulse.
Re-Synchronization from PLANTA pulse to PLANTA project
Information
- Re-synchronization from PLANTA pulse to PLANTA project is done automatically and only
- for board member data (adding new board members)
- time recording data (creating or changing)
- There is no further synchronization of PLANTA pulse data to PLANTA project.
- The creation and deletion of cards in PLANTA pulse has no effect on PLANTA project.
Details
- If new members have been added to a board in PLANTA pulsewhich is synchronized with PLANTA project, they are automatically copied to PLANTA project as well and are automatically assigned to the respective task as resource assignments, provided that
- a user exists in PLANTA project which has the same e-mail address as the new board member in PLANTA pulse and
- this user exists in PLANTA project as a resource the ID of which equates to that of the user.
- If working times have been recorded to tasks in PLANTA project, load records are automatically created for the corresponding resource assignments in the respective task in the respective project in PLANTA project. The opposite, however, is not true: hours recorded in project_ are not transferred to PLANTA pulse.
- time recording variant = 3 must be preset in order for the working hours recorded in PLANTA pulse can be transferred to PLANTA project.
Attention
- Deleted data is not re-synchronized. This means: If in PLANTA pulse board members are removed from synchronized boards or their recorded hours are deleted, information on this is not transmitted to PLANTA project.
