Time Recording in PLANTA Hybrid

Information

• This topic describes the time recording options available when using the hybrid planning method with PLANTA project and PLANTA pulse.
• From release DB 39.5.16 of PLANTA project and release 27.4 of PLANTA pulse, PLANTA provides two time recording options in PLANTA Hybrid:
  • Simple time recording: time recording only on PLANTA pulse elements (cards)
  • Extended time recording: recording both on PLANTA pulse elements (cards) and on PLANTA project elements (tasks)

Simple: time recording only on PLANTA pulse elements (cards)

Information

• In this variant, time recording is exclusively done on cards of the boards in PLANTA pulse. These may either be the boards directly created in PLANTA or those synchronized from PLANTA project tasks. Here, hours worked can
  • be entered directly on the cards or
  • be recorded in the Time Recording panel.

Requirements

The following settings are to be made in the hybrid system in order to use this time recording variant

• PLANTA project
  • Since pulse allows multiple postings per day as well, the load_creation_variant parameter under Global Settings must be set = 3 to enable multiple hour postings per day in PLANTA project.
  • If reverse postings (automatic or manual) are used, version Stable 3 of server 39.5.29 is required as a minimum.
    • Automatic reverse postings are activated in PLANTA project by default.

• PLANTA pulse
  • Under time recording settings in the PLANTA Hybrid area,
    • the Allow time recording on cards of non-synchronized boards should be deactivated. Reason: The deactivation of the parameter allows time recording only on cards of the boards which have been synchronized from PLANTA project tasks and thus guarantees the consistency of the hours worked recorded in both components of the hybrid system. If the parameter remained active, hours worked could also be recorded on the cards of the boards which only exist in PLANTA pulse. The hours worked of these boards are not sent to PLANTA project.

Furthermore the general conditions for hybrid use must be met.

Synchronization of the Time Recording Data

Information

• If a simple time recording option is used in a hybrid system, synchronization of the time recording data takes place automatically and only in one direction: from PLANTA pulse to PLANTA project. I.e.: If working times have been recorded in PLANTA pulse, load records are automatically created for the corresponding resource assignments in the respective task in the respective project in PLANTA project. The opposite, however, is not true: hours recorded in PLANTA project are not transferred to PLANTA pulse.
• Only newly recorded hours worked and comments
  • changed hours worked and comments
  • NEU deleted hours worked and comments
  • will be synchronized

Note

• Since in PLANTA pulse hours worked can only be recorded on cards and not on boards or on projects, the synchronized boards can only be found in the time recording search if they contain cards.

Time Recording Procedure

The procedure of simple time recording in PLANTA Hybrid is identical to the procedure when using PLANTA pulse as a standalone application. For a description of the procedure in PLANTA pulse, see

Extended: Time Recording on PLANTA pulse Elements (Cards) and PLANTA project Elements (Tasks)

Information

• This variant offers a combined use of time recording in the Time Recording panel in PLANTA pulse. Hours worked can be recorded:
  • both on cards of the boards synchronized or not synchronized from PLANTA project (created directly in PLANTA pulse),
  • and on PLANTA project tasks which have not been synchronized as boards but are displayed automatically as soon as extended time recording has been activated.

Requirements

The following settings are to be made in the hybrid system in order to use this time recording variant

• PLANTA project
  • Since pulse allows multiple postings per day as well, the load_creation_variant parameter under Global Settings must be set = 3 to enable multiple hour postings per day in PLANTA project.

    • NEU the Activate time recording on PLANTA project elements parameter must be activated and the parameters depending on it, like Protocol, Port, and Host must be configured.

Furthermore the general conditions for hybrid use must be met.

Synchronization of the Time Recording Data

Information

• Synchronization in time recording on cards of the boards:
  • When recording hours worked on cards of the boards, the same peculiarities of synchronization as in simple time recording apply. For further information, please refer to the Simple: time recording only on PLANTA pulse elements (cards).
• Synchronization in time recording on PLANTA project tasks.
  • The PLANTA project tasks displayed in PLANTA pulse are no synchronized elements in the ordinary sense. The tasks from PLANTA project are only displayed in PLANTA pulse, they only exist in PLANTA project. The hours worked posted on it will be displayed in PLANTA pulse, however, they will only be saved in PLANTA project.
  • For this reason, the time recording data is always synchronous in both systems since they are only stored in one system. They can, however, be recorded in both systems.
• The following time recording data is "exchanged" between both systems:
  • newly recorded hours worked, comments, and time recording favorites
  • changed hours worked, comments, and time recording favorites
  • deleted hours worked, comments, and time recording favorites

Details

• As soon as new tasks have been created in a project approved for time recording in PLANTA project, they will immediately be available for posting in PLANTA pulse as well.
• If a user who has not been synchronized with a user in PLANTA project logs on to PLANTA pulse, he/she cannot record hours on tasks from PLANTA project.
• If a task from PLANTA project has been synchronized with PLANTA pulse, it will only be displayed as a PLANTA pulse element (board with cards) in time recording search, not as a project element. Hours worked can only be posted on cards of this board. They cannot be posted directly on the task.
  • Exception: Tasks which are synchronized but on which the user has already recorded actual hours in PLANTA project in the current week are shown in the overview.
• Since in PLANTA pulse hours worked can only be recorded on cards and not on boards or on projects, the synchronized boards can only be found in the time recording search if they contain cards.

Information

• In this variant, time recording is carried out via the cards of the boards synchronized with PLANTA project or created directly in PLANTA pulse. Here, hours worked can
  • be entered directly on the cards or
  • be recorded in the Time Recording panel.
• The procedure here is identical to that which applies when using PLANTA pulse only. For more information, see here.

Details

• Since in PLANTA pulse, hours worked can only be recorded on cards and not on boards or on projects, the synchronized boards can only be found in time recording search if they contain cards.
• The hours worked which are recorded in PLANTA pulse on the cards of synchronized boards are sent to PLANTA project automatically.
• If hours worked are recorded on cards which are not located on synchronized boards, they will only be displayed in PLANTA pulse but they are not sent to PLANTA project.

Synchronization of Data

Information

• The synchronization of the data from PLANTA project to PLANTA pulse is done manually via a context menu command in the Schedule module. Further information
  • In the course of this, a board is created in PLANTA pulse for each task from PLANTA project.
• Time recording data (record, change) is automatically resynchronized from PLANTA pulse to PLANTA project.
• If working times have been recorded to tasks in PLANTA project, load records are automatically created for the corresponding resource assignments in the respective task in the respective project in PLANTA project. The opposite, however, is not true: hours recorded in project_ are not transferred to PLANTA pulse.
  • time recording variant = 3 must be preset in order for the working hours recorded in PLANTA pulse can be transferred to PLANTA project.
