Reporting Hours Worked

Note

  • Within these two main types, there are different procedures, e.g. depending on the reporting module or on the access to the reporting module or by the type of activity to which you want to report, e.g. tasks in which you are planned or not planned, overhead tasks, etc.

Procedure 1

  • In the left window, all projects and tasks are displayed, for which the current employee is scheduled as a resource.
  • Open the required project.
  • Click in the field below the required date in the line of the required task in the right window.
  • Enter the required number of hours.
  • Save.
    • A load record is created below the respective task line.
  • Enter the hours for all required days in the same way.
  • Expand the tree structure of the task in question in the left window. Here, you can see the load records in tabular form.
    • In the Comment field, a comment on the load record can be entered.
    • If the date is changed manually in the Load date field, the load record is automatically moved under the scale as well.

  • Right-click on the required task in the My Activities module.
  • Select the Reporting hours worked command from the context menu.
  • Enter hours worked in the Report hours worked dialog box.
  • Confirm with OK.
  • The Reporting Hours Worked module is opened.
  • In the Reporting Hours Worked module, a new record with report data (hours) is automatically created and previously input hours are entered.
    • In the Load date field, the reporting date is automatically entered.
    • The Project and Task fields are automatically filled with the respective data.
  • Save.

    Procedure
    • Click on the NEW Post to other projects/tasks button in the Work Reporting module.
    • Select the date from the listbox in the Date field, the project from the listbox in the Project field, and the task from the listbox in the Task field.
    • After you have filled the from and to fields, the Actual load field is filled automatically.
      • Alternatively, the Actual load field can be filled with the number of hours worked.
    • In the Comment field, a comment on the reported data can be entered.
    • Save.
    • The unplanned task for which hours are reported is then assigned to the employee and automatically displayed in the Work Reporting and My Activities modules.

    Up to DB 39.5.7

    Procedure
    • Click on the Post to Unplanned Tasks button in the Work Reporting module.
    • Select the date from the listbox in the Date field, the project from the listbox in the Project field, and the task from the listbox in the Task field.
    • After you have filled the from and to fields, the Actual load field is filled automatically.
      • Alternatively, the Actual load field can be filled with the number of hours worked.
    • In the Comment field, a comment on the reported data can be entered.
    • Save.
    • The unplanned task for which hours are reported is then assigned to the employee and automatically displayed in the Work Reporting and My Activities modules.

    Post Hours in the Future

    Objective

    • For particular cases, such as vacation, the employee is to post future actual hours.

    Information

    From DB 39.5.12

    • The existence of projects for which the posting type parameter = 1 Hours worked rep. also in future (overh. costs, ...) is set (in practice, these are mostly overhead cost projects) with the respective tasks (e.g. vacation, sickness) is a requirement for reporting future hours.

    • Move to the week for which you want to report overhead costs by pressing the arrow buttons.
    • In the Hours worked rep. also in future (overh. costs, ...) area, overhead cost projects are displayed with their corresponding tasks.
    • Click on the line of the required overhead cost task in the scale area below the required date and enter the hours.
    • Save.
      • A load record is created and can be viewed and edited in the left window by expanding the tree structure of the respective task.
        • In the Comment field, a comment on the load record can be entered.
        • If the date is changed manually in the Load date field, the load record is automatically moved under the scale as well.
    • Enter the hours for all required days in the same way and save.

    Up to DB 39.5.12

  • Move to the week for which you want to report overhead costs by pressing the arrow buttons.
  • In the Act. postings also in the future (overh. costs, ...) area, overhead cost projects are displayed with their corresponding tasks.
  • Click on the line of the required overhead cost task in the scale area below the required date and enter the hours.
  • Save.
    • A load record is created and can be viewed and edited in the left window by expanding the tree structure of the respective task.
      • In the Comment field, a comment on the load record can be entered.
      • If the date is changed manually in the Load date field, the load record is automatically moved under the scale as well.
  • Enter the hours for all required days in the same way and save.
  • Procedure 2

    • Select date, project (overhead project), and task from the respective listboxes in the Date, Project, and Task fields.
    • Enter hours in the Actual load field.
    • In the Comment field, a comment on the reported data can be entered.
    • Save.

    Reverse Postings

    Information

    • If incorrect actual load records have been created, PLANTA expressly recommends that you do not delete them but carry out reverse postings.
      • Incorrect load records can occur, e.g., if an incorrect project or an incorrect task has been reported or if the key date has already been exceeded.

    Explanation

    Procedure

    • In the Work Reporting or Report Hours Worked module, you have to
      • Create a new record with the same date as in the reference record below the load record to be reversed.
      • Enter the same number of hours as in the reference record with a minus symbol in the Actual load field.
      • Save.

    Note

    • You have to make sure that reverse postings are made for the same date as the incorrect postings.

    Stop

    • As long as no capacity scheduling has been carried out for the project in question, it is still possible to directly delete the reported actual value (no load record!). But since there is no indication of whether the capacity scheduling has already run or not, it should only be done after having consulted the responsible project manager because otherwise project data could be manipulated.

    Work Reporting

    Information
    • In work reporting, there is no difference in the procedure depending on the type of task you want to post hours to since both the project and the task can explicitly be selected directly in the reporting record.
    • Furthermore there is only one module for work reporting: Reporting Hours Worked module
    • The work reporting options described below only differ in the way the Reporting Hours Worked module is accessed.
    • usage_actual_load_reporting global setting = 0.

    Procedure 1

    • Select the date from the listbox in the Date field, the project from the listbox in the Project field, and the task from the listbox in the Task field.
    • Define the required time period in the from and to fields. The number of hours is calculated automatically and displayed in the Actual load field.
    • In the Comment field, a comment on the reported data can be entered.
    • Save.

    Procedure 2

    From DB 39.5.8

    From version DB 39.5.8, procedure 2 can no longer be used.

    From DB 39.5.0

    Access path

    Notes

    • If you double-click on the black clock, you switch directly to the Reporting Hours Worked module.
    • In the from and to fields, the time at which you clicked the clock is entered. You can change the time manually.

    Procedure

    • To start the stop watch function,
      • click on the black clock once.
      • The start time is displayed in the first line next to the clock, the time recording is displayed in the second line.
    • To stop the stop watch function,
    • In the Reporting Hours Worked module,
      • a new reporting record is created and the following fields are filled automatically: Date, from, to and Actual load.
        • In the Load date field, the reporting date is automatically entered.
        • In the from and to fields, the recorded start and end times are entered.
        • The Actual load value is calculated on the basis of the from and to values.
      • Select the project for which hours are to be reported from the listbox on the Project field.
      • Select the task for which hours are to be reported from the listbox on the Task field.
      • Enter a comment in the Comment field if necessary.
      • Save.
