  • Information

    • This module is a central board for creating, sending, receiving, and administrating messages of the current user, i.e. the messages displayed here were sent by or to the current user.
    • All messages are project related and are displayed for each project in the Info module. Only projects with Status = 1 (active projects) are displayed.
      • If one of the projects listed here is completed/quit, it is still displayed in the Info module, as communication between team members does not necessarily stop once the project is completed. A project is only then not displayed if it is archived or deactivated.

    Send Info to Project Team

    Information

    • In the Send info to project team area, only projects in which the current user is a stakeholder are displayed.
      • Thus you can only send project related info.
    • Below each project, the stakeholders of the project who are authorized to receive info are listed (the authorization can be given by a person responsible in the Stakeholder module).

    Send Info

    • Expand the tree structure of the required project.
    • Activate the Send info button next to the person to which the info is to be sent.
      • As a result, you switch to the Send Info module where you can write and send messages. ---+ Send Info MOD009A1T

    Send Info

    • Enter a name in the Title field and the message text in the Text field (white field below the yellow bar).
      • In the Title field, either the name of the module (e.g. if the info is sent from the Process Status module) or the -Please enter a name- string is output by default.
    • If necessary, select a new recipient.
    • Click on the Send button.

    • NEW The messages are sent to the recipient via e-mail.
    • You can define the mailbox type (i.e. the way the recipient receives the message) in the NEW Stakeholder area in the Info via field in the Project Core Data module for each project and employee. This implies that the person to receive the messages is to be assigned to the respective project as a stakeholder.

    • To send messages via e-mail, you have to make sure that
      • the e-mail address of the recipient is stored in the E-mail field in the Persons module. If no e-mail address is stored, a message indicating this is displayed.
      • the specified e-mail address is correct. E-mail addresses are not validated in PLANTA project, so in case you enter a wrong address, the recipient will not receive the e-mail.
      • the correct IP address of the smtp server is entered for the smtp_server_address parameter in the Alpha (120) field in the Global Settings module.

    Information

      • NEW Note: If in the respective project Email or none is specified for a user as info type, the message is immediately displayed in the Inbox area.
    • You can move a read message to the Read info area by activating the Read checkbox.

    Move Info to Trash Bin

    Procedure

    • Mark the required message in the required area.
    • Right-click on the message and select the Move to trash bin command from the context menu.
    • The messages are moved to the trash bin and can be found in the respective categories in the Trash bin module variant if required.

    Details

    • The messages which are moved from the Inbox category (i.e. info items which are not yet marked as read) to the trash bin are marked as read when they are moved and are sorted in the Info items read category in the trash bin.
