  • Portfolio Management Portfolio Portfolio Overview Click on the ID of a portfolio
  • Portfolio Management Portfolio Portfolio Overview Click on the New Portfolio button (to create a new portfolio)
  • Information

    • In this module, the data of newly created portfolios is created and that of already existing portfolios is edited and maintained.

    Authorizations

    • Users with multi-portfolio manager rights can edit and delete any data of any portfolio.
    • Users who do not have multi-portfolio manager rights but portfolio manager rights for their own portfolios can edit their own portfolios.
    • If the user has none of the above mentioned rights but has access to the Portfolio module, he/she cannot edit or delete data. In this case, all fields are set to output and when clicking on any button, the following message is displayed: You have no authorization to open this module!.

    Module Variants

    With completed periods Here, budget periods which are already completed (Completed checkbox is activated) are displayed as well.

    Portfolio Header Data

    Information

    • In the portfolio header, the header data of the portfolio, such as ID number, Name, Portfolio Manager, etc. is displayed and can be edited.
    • The data for risks and opportunities is summarized from the planning objects assigned to the portfolio (from the most recently released status report) and displayed calculated according to the risk value share.

  • In the portfolio header, the header data of the portfolio, such as ID number, Name, Portfolio Manager, etc. is displayed and can be edited.
  • The data for risks and opportunities is summarized from the planning objects assigned to the portfolio (from the most recently released status report) and displayed calculated according to the risk value share.
  • Create Data of a New Portfolio

    Procedure

    • After you have clicked on the New portfolio button in the Portfolio Overview module, the empty Portfolio module is opened.
      • When the module is opened, the ID number for the new portfolio is generated automatically and displayed immediately.
    • In the Portfolio name field (here, the Please enter name dialog is displayed by default), you can name the portfolio as desired.
    • Define the manager of the portfolio in the Portfolio manager field.
    • Save.
    • Other entries are optional and can be added at a later point in time if required.

    Delete Portfolio

    Procedure

    • Click on the Delete portfolio button in the portfolio header.
    • Confirm the Do you really want to delete this portfolio? message with Yes.

    Authorization

    Risks

    Information
    • In the Risks area,
      • the individual planning objects of the portfolio for which risks are created are listed in table form and their risk data is run.
      • a matrix diagram which displays the number of risks as measured by their Damage extent and its respective Probability of occurrence in the high, medium, and low categories.

    Note

    • All data displayed in this area stems from the current planning of the planning objects, in opposite to the risk data listed in the header area which stems from the active status reports of the planning objects assigned to the portfolio.

    Budget per Period

    Information

    • The portfolio budget can be planned on a yearly basis (period-related).
    • In the Budget per period area you can add, approve, and delete periods.
      • The budget data can be edited separately in each period tranche.

    Note

    • If in other modules (e.g. in the Budget module) changes have been made to data that affects the data in the Portfolio module, you must click on the Aktualisieren.PNG Update portfolio button in order to update the portfolio data.

    Insert Budget Period

    Procedure

    From DB 39.5.7

    • Select the period from the listbox in the Budget per period area header.
      • The listbox only contains the years for which budget, costs, or effort have been planned or are available. This also means: If no planning objects have been assigned to the portfolio, the listbox is empty.
    • Click on the Insert period (Budget) ZeitraumBudgeteinfuegen.png button.
    • The respective period tranche is created and this year's cost and budget data summarized from the planning objects is displayed in it.

    Up to DB 39.5.7

  • Select the period from the listbox in the Budget per period area header.
    • The listbox only contains the years for which budget, costs, or effort have been planned or are available. This also means: If no planning objects have been assigned to the portfolio, the listbox is empty.
  • Click on the Insert period (Budget) ZeitraumBudgeteinfuegen.png button.
  • The respective period tranche is created and this year's cost and budget data which is summarized from the planning objects is displayed in it.
  • Edit Budget Period

    Procedure

    • In each yearly tranche, the portfolio budget is entered manually for each cost type group in the Portfolio budget column (Portfolio cost budget field for costs and Portfolio effort budget field for effort).
      • Changes to individual budget positions (in individual cost type groups) cause an automatic update of the value in the Costs and Effort sum lines since the values of individual cost type groups are summarized to these sum lines.
    • In addition to the portfolio budget data, the summarized budget and cost data of the planning objects assigned to the portfolio is displayed.
    • You can hide the yearly tranche by marking the Completed checkbox. This is the case if the year is in the past, for example. With the With Completed Periods module variant, the hidden yearly tranches can be displayed.

    Details

    • The data of each period can be accessed and displayed separately in an extra module. For this purpose, click on the SchaltflaecheZeitraumbearbeiten.PNG Edit period button. As a result, you switch to the Portfolio Period module.

    Approve Budget Period

    Information

    • In PLANTA portfolio, the portfolio budget is not approved for the entire portfolio; it is only possible to approve a portfolio budget for a particular period.

    Procedure

    • Click on the Zeitraumfreigeben.PNG Approve period button in the required period tranche.
    • Confirm the Do you really want to approve the period? message with Yes.
    • The Approved checkbox is activated and thus the budget for the period is approved.

    Note

    Delete Period

    Procedure

    • Click on the ButtonZeitraumloeschen.PNG Delete period button for the required period.
    • Confirm the Do you really want to delete the period? message with Yes.
      • The period tranche itself is not deleted, only the values it contains.

    Notes

    From DB 39.5.7

    • Deletion is only permitted for periods that have not been approved.
    • When you attempt to delete an approved period, the following message is displayed: NEWApproved periods cannot be deleted.
    • If you want to delete an approved period, you have to cancel the approval in the Cancel Approval Per Budget Period module by deactivating the Approved checkbox.

  • Deletion is only permitted for periods that have not been approved.
  • When you attempt to delete an approved period, the following message is displayed: Approved portfolios cannot be deleted.
  • If you want to delete an approved period, you have to cancel the approval in the Cancel Approval Per Budget Period module by deactivating the Approved checkbox.
  • Assigned Planning Objects

    Information

    • In the Assigned planning objects area, projects, proposals, ideas, and programs are assigned to the portfolio.
      • An empty portfolio (portfolio without planning object assignments) cannot be planned.
    • The assignments can be deleted.

    Resource Simulation

    Procedure
    • Click on the Resource simulation button in the Assigned planning objects area.
    • Three modules for the planning overview of the project portfolio are opened.

    Assign Planning Objects

    Procedure

    From DB 39.5.5

    • Click on the ZeitraumBudgeteinfuegen.png Assign planning objects to the portfolio button in the Assigned planning objects area.
    • As a result, you switch to the Assign Planning Objects to the Portfolio module.
      • NEW Mark the required planning objects and click on the Copy marked objects button in the Assign Projects Ideas or Proposals module.
      • As a result, they are assigned to the portfolio and are immediately visible in the Portfolio module.

    Up to DB 39.5.5

  • Click on the ZeitraumBudgeteinfuegen.png Assign projects, proposals, ideas, or programs button in the Assigned planning objects area.
  • As a result, you switch to the Assign Planning Objects to the Portfolio module.
    • Assign the required planning objects individually by clicking on the ID number of the respective object or
    • mark several planning objects and click on the Copy marked objects button.
    • As a result, they are assigned to the portfolio and are immediately visible in the Portfolio module.
  • Note

    • Only planning objects with status =1 (active) can be assigned to the portfolio.

    Delete Planning Objects

    Procedure

    • Right-click on the required planning object.
    • Select the Delete assignment context menu command.
    • Confirm the Do you really want to delete this data? message with Yes.

    Documents

    Information

    • In the Documents area, you can assign documents to the portfolio.

    Assign documents

    • Create a new record for the portfolio document by clicking on the ZeitraumBudgeteinfuegen.png button or by right-clicking on the area header and selecting Insert Portfolio Documents from the context menu.
    • Assign a name.
    • A linked document can be inserted in the File field.
    • Save.

    • Click on the Objective Contribution all Groups button.
    • In doing so, you switch to the Objective Contribution All Groups module in which the objective contributions are displayed for all groups.

    Procedure
    • Select Group 2 from the listboxes in the Group 1 and Group 2 fields.
    • Click on the Objective Contribution by Groups button.
    • In doing so, you switch to the Objective Contribution By Groups module in which the objective contributions are displayed graphically and in table form for the selected groups.
      • The bubble size depends on the values in the Total budget field.
